FINANCIAL CONDITIONS
All participants will be accommodated in the Competition Accommodation (Cobham Hall School). The reservations for the accommodation will be on a first come first serve basis. The price includes full board accommodation, local transportation and entry to the competition. The cost of the stay per person per night is:

The currency exchange rate is fixed at 1GBP£ = 1.10 Euro€
Delegations are required to send by bank transfer a minimum of 30% of the total amount of your accommodation invoice by 20 February 2010. Otherwise, the reservation will not be guaranteed. Payment must be in Euros (€).
After receiving Final Entry Form C and deposit (non-refundable) we will send you an Invoice for the remainder of the total cost of stay for your Delegation. This to be paid by bank transfer by 30 March 2010 or by cash (Euros or US Dollars only) at the accreditation desk on arrival. For your and our convenience we kindly ask you to make payment by transfer.
Nations wishing to arrange their own accommodation, are required to notify the hosting NF/LOC. This must be noted in Entry Forms A and B.
Nations wishing to arrange their own accommodation must pay USD $125 accreditation fee per participant which is to be sent by bank transfer with the Final Entry Form. For this, we will provide lunch packets for the competition days and allow access to official transportation between the Headquarters hotel and competition sites.
ENTRY FORMS
Form A at the end of this invitation must be completed and submitted to the Organisers by 29 January 2010.
Forms B & C are also included in this invitation which should be sent by fax or email in the usual way.
Please read the section regarding Visas very carefully.
If you do not complete the information required prior to the deadline, or we do not receive your Delegation's deposit payment, then we will assume that your delegation is not participating.
Delegations are reminded of the new Rule 1.15.3
If, on arrival for the competition, the team has fewer athletes and/or officials than listed on their Final Entry Form and without informing the Organising Nation/LOC at least 7 days prior to their arrival, the NF will pay a fine to the Organising Nation/LOC of 200 Euros for each person less.
Following confirmation of the final entries, a NF must enter the competition with at least one pentathlete. Any NF failing to take part after having sent their final entries will pay a fine of USD 750 to UIPM.
We would appreciate the early confirmation of your intention to participate or not. Please submit Entry Form A at the end of this document as early as possible.

ATHLETES' LICENSES
Athletes are only allowed to participate in UIPM sanctioned events if they are in possession of a valid UIPM issued Athletes License. Entry Forms will not be accepted if any athlete is missing his/her License Number. Please contact UIPM Headquarters immediately if your athlete is missing his/her License.
Teams have to present the licenses to the LOC on their arrival.
If an athlete forgets their License, they must pay a fine of 50 Euros to the UIPM Technical Delegate. This fine will remain the property of UIPM.
If an athlete does not have a license and has not requested a license from UIPM they will not be allowed to take part in the competition.
You are reminded of the new Rule 1.13:-
Pentathletes without riding ability listed on their License card and without a letter from their NF confirming their ability to ride may compete in the qualifications for the Final, but if they do qualify for the Final, they must relinquish their place to the next pentathlete who has the ability to.

TRANSPORTATION PLAN
Transportation from the airport to the official hotels and the return journey is only guaranteed if flight information is provided by 12 March 2010 at the latest. Costs include transport from London Gatwick or London Heathrow airports. National Federations who arrive at other airports will have to pay a transport supplement. Details and costs will be provided on receipt of the travel plans.
Transportation from the official hotels to the venue for athletes will be according to the competition programme. More details will be available on the website and on arrival at the event.
Arrangements are in place for teams to arrive on or after 7 April 2010. Accommodation before this date cannot be guaranteed, teams wishing to arrive earlier than this should contact rosie.julian@pentathlongb.org
VISAS & VACCINATIONS
The UK has introduced a new system of visas this year for nationals of those countries requiring one. This document lists the nations requiring visas and gives further guidance about how to apply. Please note that applicants for visas will now have to apply IN PERSON at a British Embassy in their country. The UK authorities are recommending that applications are made at least two months in advance of the date of travel. You will be able to apply for a Sports Visitor Visa if you are invited by an event organiser in the UK to take part in a one-off sports event or a series of sports events as a competitor. Coaches, officials, event volunteers or support staff accompanying the sportsperson would also qualify. The organisers of the World Championships will be happy to supply a letter of invitation to those National Federations requesting one.

INSURANCE
The organiser will not accept any responsibility financial or otherwise for loss, injury or illness of any Delegation member. All members of the attending Delegations must insure themselves by a sufficient health, accident and liability insurance. By submitting the entry the National Federation confirms that all persons named on the entry are covered by such an insurance.
FIREARMS
Firearms licenses are not a legal requirement when bringing air and CO2 pistols into Great Britain for competition purposes.
However, an armoury will be in place at the World Cup and athletes will be required to deposit their air pistols on arrival at the venue for storage in the armoury.

All athletes are kindly requested to wear their official national uniform at the competition. Please also bring a CD of your national anthem and a national flag.

However, there are limited single, double and triple rooms available and therefore teams are advised to submit their entries as early as possible as rooms will be allocated on a first come first served basis.
